Summary of Duties and Responsibilities

The Senior Administrative Assistant—College Advancement will provide a wide range of administrative support for the College's Advancement team. General duties include but are not limited to preparing correspondence, planning meetings, managing budget, processing invoices and expense reports, managing large mailings, ordering supplies, maintaining records, and providing staff support for major College events.

Primary Duties and Responsibilities

Provide administrative support to the Dean for College Advancement.

  • Maintain Dean's calendar, plan and schedule meetings, and, like all members of the College Advancement team, assist with office related events.
  • Prepare Dean's correspondence and expense reports, maintain Dean's budget records.
  • Maintain Board of Trustee records, generate various reports, and assist Dean with Board of Trustee meeting prep.
  • Prepare President's 1832 Society stewardship letters, purchase stamps, mail, maintain correspondence records.
  • Manage job searches – schedule candidate interviews, develop orientation schedules and training sessions. Train new employees on office and College policies and procedures.
  • Supervise student employees - hire, train, supervise, and evaluate student employees.
  • Office Liaison to HR Office - Maintain Advancement Staff vacation schedules and personnel records.
  • Office Liaison to Business Office – budget management, run reports, maintain records.

Provide administrative support to the Senior Associate Dean for College Advancement.

  • Budget management, contract renewals, process invoices, and expense reports, run reports, maintain records.
  • Assist with the College's annual Charitable Registration process including applications, invoices, and correspondence.
  • Assist gift officers with purchasing card reports, expense reports, correspondence, mailings, and room reservations.

Provide administrative support to the Director of Planned Giving.

  • Provide budget management, contract renewals, process invoices and expense reports, run reports, maintain records.
  • Prepare Kane Society letters, certificates, welcome packets, birthday cards, run reports, maintain records, and assist with Kane Society events.
  • Prepare 50th Reunion correspondence and large mailings, run reports, and assist with reunion events.
  • Prepare correspondence and mailing for Donor Annuity Filing, SSGA Reports, Trust Reports, and Life Insurance Reports, maintain records.
  • Maintain deceased alumni and donor records, order and purchase death certificates when needed, process records for file transfer to Archives.
  • Coordinate Bookplate Memorials (honoring relationships with distinguished alumni and donors) in partnership with the Lilly Library staff.
  • Maintain Planned Giving files and records.
  • Provide some staff support for major College events such as homecoming, commencement, volunteer, and reunion weekends.
  • Other appropriate duties as assigned.

Evaluation Process

Evaluation of Advancement staff is an ongoing process. Interim goals and objectives will be set and monitored on a regular basis. Formal evaluation will occur in May of each year.
